We are a fast-growing wood carpentry and fabrication factory specializing in custom furniture, interior fittings, and large-scale carpentry works. We are looking for a meticulous and hands-on Admin Executive to support our daily operations and ensure smooth coordination between our production floor, suppliers, and clients.
Key Responsibilities:
- Handle sales orders, purchase orders, and job sheets, ensuring accuracy in material and project documentation.
- Coordinate with suppliers for timber, plywood, laminates, hardware, and other carpentry materials; monitor deliveries and maintain inventory records.
- Assist in project scheduling and job assignment, liaising with the factory supervisor and project managers.
- Maintain proper filing of production drawings, permits, and safety documents.
- Prepare invoices, delivery orders, and payment follow-ups with clients and vendors.
- Track manpower attendance, overtime claims, and work permits for factory workers.
- Support health & safety compliance (WSH-related documentation, training schedules, equipment maintenance records).
- General administrative duties, including answering calls, handling walk-in customers, and supporting management with ad-hoc tasks.
Requirements:
- At least 2 years of administrative experience, preferably in manufacturing, construction, or carpentry industry.
- Good knowledge of MS Office / Google Workspace; knowledge of basic accounting software (e.g. Xero, QuickBooks, MYOB) is an advantage.
- Strong organizational skills with attention to detail.
- Ability to multitask and work in a fast-paced, production-driven environment.
- Effective communication in English; ability to speak Mandarin or Malay is an advantage to liaise with suppliers and workers.
