Job Description

ob responsibilities:

  1. Administrative Support:Documentation Tracking: Ensure all client and service documentation is accurate, up-to-date, and securely stored at all times.
    Coordinate Schedules: Organize and maintain daily schedules for home care staff, ensuring optimal coverage and timely service delivery within the assigned timelines.
    Manage Communication: Act as the primary point of contact for internal and external communications, including responding to inquiries and coordinating with other departments, preparing communication letters to clients/caregivers.
    Audit Preparation: Assist Snr Manager and staff to prepare for annual internal and external audits.
  2. Operational Management:SOP Development: Assist Snr Manager in writing, updating and monitoring SOPs, identifying gaps and inefficiencies in current processes and managing implementation of new SOPs.
    Billing and Fee Collection Management and Reporting: Prepare and coordinate all monthly client billing matters, support fee collection, issue receipts and prepare weekly bank-in summary, ensuring quality and timely service delivery within the assigned timelines.
    Procurement: Coordinate with HQ procurement for Home Care purchases, ensuring timely delivery and closure within the assigned timelines.

Job Requirements

  • Minimum Diploma Holder, preferably in field of Social Work/Healthcare. Some experience preferable.
  • Good computer skills and experiences in in MS Teams, Office, Outlook and Excel.
  • Strong organizational and time management skills.
  • Proficient in numbers with strong skills in handling financial information, basic team performance metrics and preparing service agreements.
  • Good writing skills and computer literacy skills (e.g. Microsoft Applications).
  • Fluent in English. Fluency in other languages/dialects is advantageous but not essential.
  • Good customer service skills and ability to work independently. Must be comfortable in communicating with the general public.
