Executive, IT & Operations

Job Summary

We are seeking an executive to support and enhance our IT operations, with a strong focus on Salesforce Cloud administration, Microsoft 365/Azure management, cybersecurity compliance, and project management. This role is responsible for maintaining IT service delivery, ensuring smooth operations, system security, and providing technical support to users while driving business process improvements and managing IT projects.

The ideal candidate should have experience in IT service management, cloud administration, compliance frameworks such as the Personal Data Protection Act (PDPA), and project management methodologies.

Key Responsibilities

1. IT Service Management & Support

• Manage IT vendors to monitor system performance and for helpdesk support.
• Provide technical support and ensure system/network performance.
• Develop IT best practices.

2. Microsoft 365 & Azure Administration

• Oversee Microsoft 365 (SharePoint, OneDrive, Teams).
• Administer Azure Active Directory and security policies.
• Maintain Intune for device management.

3. Cybersecurity & Compliance

• Act as Data Protection Officer to ensure PDPA compliance and cybersecurity best practices including internal staff education and processes.
• Maintain Data Protection and Cyber Essentials certifications.
• Conduct security assessments and implement disaster recovery plans.

4. Salesforce Administration

• Manage Salesforce enhancement projects, working with external vendors
• Configure, maintain, and automate workflows based on organisation needs.
• Ensure accurate data reporting for grantors.

5. IT & Operational Project Management

• Lead IT and operational projects for system and process improvements.
• Work with internal stakeholders to understand requirements and processes.
• Define scope, manage risks, and ensure smooth implementation.
• Oversee change management for technology adoption.

6. Asset & Operations Management

• Manage IT onboarding/offboarding and device inventory.
• Oversee secure disposal and procurement of IT assets.
• Streamline operational workflows for efficiency.

7. Account & Vendor Management

• Manage software licenses (Microsoft 365, Zoom, Adobe).
• Ensure compliance with user management and IT budgeting.
• Oversee vendor performance and service agreements.

8. Digitalisation

• Champion digital transformation within the organization
• Stay updated on emerging technologies and recommend suitable solutions.
• Develop and deliver training programs to ensure successful adoption of new technologies.

Qualifications & Requirements

• Diploma or Bachelor’s degree in Information Technology, Computer Science, or a related field.
• 2-5 years of experience in IT service management and cloud technologies.
• Experience in project management for IT system enhancements and upgrades.
• Strong technical knowledge of IT systems, software, and infrastructure.
• Excellent communication skills for effective collaboration with team members, vendors, and stakeholders.
• Strong problem-solving and critical-thinking abilities.
• Effective organizational and time management skills.
• Knowledge of industry best practices and IT standards.

Preferred Skills

• Experience with Salesforce and Microsoft 365 integrations.
• Knowledge of backup, disaster recovery, and business continuity planning.
• Strong understanding of cybersecurity principles, PDPA compliance, and risk management.
• Familiarity with agile or other project management methodologies.
• Ability to adapt to changing priorities and manage multiple tasks efficiently.
