operations Executive

The Operations Executive (Vending Machine) plays a vital role in the day-to-day operations and deployment of vending machines across various locations. This position ensures accurate sales tracking, efficient inventory management, deployment of new machines, and support for both physical and online vending operations. The ideal candidate should be skilled at resolving Taste Asia Vending Machine service-related issues, highly organized, proactive, tech-savvy, and comfortable managing logistics and digital platforms.

Responsibilities:

Sales and Inventory Management

· Monitor and compile daily vending machine sales reports across all locations.

· Maintain online inventory accuracy of vending products across all machine locations.

· Coordinate stock replenishments and restocking schedules via sales trends and location demands.

· Assist with stock planning and alignment with and logistics and BD teams.

· Ensure stock mix meets location preferences, including RTE (Ready-to-Eat) meals, snacks, and beverages.

Operations Coordination

· Plan and coordinate daily driver replenishment scheduling.

· Plan and coordinate the full deployment of vending machines, including site readiness, machine delivery, and mechanical machine testing.

· Develop and implement planograms for each machine based on location-specific product strategies (e.g., RTE foods, snacks, beverages) to optimize product mix and visibility to customers.

· Conduct pre-deployment machine checks to ensure machines are in optimal condition before deployment— (chiller temperature, sound, display, connectivity, etc.) to ensure readiness.

· Work closely with the technical team to resolve issues before deployment and after installation.

· Activate and map NAYAX payment readers correctly to respective machine IDs and verify proper transaction functionality.

· Schedule regular machine servicing and troubleshoot minor operational issues.

· Follow-up closely and communicate with relevant teams to troubleshoot vending machine issues.

Portal Management

· Onboard new vending items (SKUs) to the online vending portal to correspond with the actual machine inventory.

· Ensure correct product mapping, pricing, location naming, and machine-product linkage on the portal.

· Monitor that the online inventory status reflects real-time machine stock, working closely with the top-up drivers to troubleshoot sync errors.

· Coordinate with marketing to upload product images, descriptions, and nutritional info where applicable.

· Coordinate with the production team to manage batch tracking and expiry dates of perishable products.

· Assign specific expiry batches to individual machines via the online inventory system.

Administrative & Reporting Duties

· Maintain accurate records for each machine deployment including location, planogram, service history, and stock logs.

· Generate insights and dashboards for internal stakeholders on machine and product performance.

Customer & Client Servicing

· Manage the customer service hotline to address public and client queries related to vending machines.

· Handle feedback of machine faults, payment issues and product quality complaints.

· Process and track refund requests, coordinating with the finance or technical team where necessary.

· Escalate unresolved technical problems to relevant service vendors or internal teams and follow up to ensure resolution.

Compliance to Quality and Standards

· Ensures the quality and quantity of products produced meet the business requirements

· Attends, investigates and resolves any Vending Machines related issues effectively and efficiently

· Monitor the maintenance schedule of Vending Machines to ensure continued reliability and efficiency of assets, equipment, and systems.

Requirements:

· Minimum 3 years of experience in food manufacturing supply chain or logistics support roles

· Proficient in Microsoft Excel and familiar with inventory systems

· Strong analytical, planning, interpersonal, communications and organizational skills

· Knowledge of ISO22000 or HACCP would be an advantage

· 6 days work week
