Job Description

Job Summary:

We are seeking a highly organized and detail-oriented Administration Manager to oversee the administrative functions of our construction company. The ideal candidate will be responsible for procurement, work pass management, accounting transactions, and HR duties. This role requires excellent multitasking abilities, strong communication skills, and a deep understanding of construction-related procurement and compliance.

Key Responsibilities:

1. Procurement of Construction Hardware & Supplies

  • Source, negotiate, and procure construction materials, tools, and equipment.
  • Maintain relationships with suppliers and vendors to ensure cost-effective and timely deliveries.
  • Monitor inventory levels and ensure stock availability for ongoing projects.
  • Evaluate supplier performance and manage procurement documentation.

2. Work Pass Management (S Pass, E Pass, etc.)

  • Handle all work pass applications, renewals, and cancellations for foreign workers.
  • Ensure compliance with Ministry of Manpower (MOM) regulations and employment laws.
  • Liaise with government agencies regarding work pass-related matters.
  • Maintain accurate records of employee work passes and expiry dates.

3. Daily Accounting Transactions

  • Process invoices, payments, and expense claims.
  • Maintain proper documentation for all financial transactions.
  • Assist in payroll processing and budget tracking.
  • Coordinate with external accountants or auditors when required.

4. HR Duties

  • Manage employee records, contracts, and onboarding/offboarding processes.
  • Handle leave management, attendance tracking, and employee benefits.
  • Assist in recruitment, training, and performance management.
  • Ensure compliance with labor laws and company policies.

Requirements:

  • Minimum Diploma/Degree in Business Administration, Supply Chain, HR, or related field.
  • At least 3-5 years of administrative experience
  • Strong knowledge of procurement, work pass applications, accounting, and HR processes.
  • Familiarity with MOM regulations, employment laws
  • Proficient in Microsoft Office (Excel, Word)
  • Excellent organizational, negotiation, and communication skills.
